Create a requirement per product
List each label, patch, tag or packaging item separately. Record the dimensions, material preference, artwork version and quantity. A brand collection may need more than one item per garment, and quantities should reflect that.
Allow for review and changes
Artwork review, quotation, sample discussions, approval, production and delivery are separate steps. Give your actual deadline and delivery destination at the beginning so feasibility can be discussed. Do not assume a dispatch date is the same as the date the goods arrive.
Keep approval records
Maintain a final artwork file and an approved specification for each item. Record what changed between versions. An email saying “approved” is clearer when it identifies the exact proof or specification being approved.
Confirm commercial details
- Product quantities and the unit or total price basis.
- Currency, payment terms and quotation validity.
- Shipping basis and destination.
- Any sample, artwork, mould or other setup charges.
- Agreed production specification and estimated schedule.
Plan repeat orders
Keep the previous order reference, approved artwork and specification. If you want a repeat to match an earlier batch, provide that reference and a physical comparison where needed. Tell us about any change to the garment, size, attachment or care requirements.
