Send the best original file
A vector PDF, SVG or other original vector artwork can make review easier because shapes can be inspected without enlarging a low-resolution screenshot. If you only have a raster image, send the highest-quality original PNG or JPG available. Do not enlarge a small screenshot and assume the added pixels create new detail.
Outline fonts when appropriate, or provide a PDF proof showing exactly how the lettering should appear. Include a visible preview so layout and colours can be checked against the source file.
Specify dimensions separately
State width and height in millimetres, and explain whether these are the visible dimensions or total cut dimensions. For folded labels, show the fold positions and any area that will be hidden inside a seam.
A screenshot with a ruler is useful as context but should not replace a written dimension. State whether the drawing is an exact production layout or a concept that needs adjustment.
Explain colours and backgrounds
Screens display colour differently. Include colour references where available and tell us which colours matter most to the brand. A digital colour value is a reference for discussion, not a guarantee that thread, paper and moulded material will look identical.
Clarify whether white areas are part of the artwork or transparent space. A white logo on a white canvas can be missed during review unless the background or artwork is clearly identified.
Keep a specification checklist
- Product and material preference.
- Final dimensions, folds, backing and border.
- Quantity per design and colourway.
- Destination country, postcode and any deadline.
- Reference files and details you do not want changed.
Before approving
Check spelling, orientation, dimensions and every line of product information. Make sure the approved preview matches the specification discussed in the quotation. Any remaining questions should be resolved before production approval.
